Once an invoice has been sent, the clean way to change it is not to edit or delete it but to issue a credit note against it. Common reasons:
Keeping the original invoice and the credit note side by side gives you and your accountant a clear trail, and in many VAT systems it is how a correction has to be made.
| What it is | Issued by | |
|---|---|---|
| Credit note | A document that reduces what the customer owes on an invoice | The seller |
| Refund | Money actually paid back to the customer | The seller, after a credit note or return |
| Debit note | A document that increases an amount due, or a buyer’s request for a credit | The seller or the buyer, depending on local practice |
A credit note does not by itself move money. If the invoice is unpaid, the customer pays the reduced balance; if it is paid, you either refund the difference or the customer keeps the credit for a future invoice.
Rules on credit notes, especially for VAT, vary by country. Check what yours requires, and keep each credit note with the invoice it corrects in My documents.
Once an invoice has been sent, it is better not to. Issue a credit note instead so your numbering stays intact and your records show what happened.
Yes. Put the original invoice number in the “Original invoice” field so the customer and your accountant can match the two.
Yes. Each credit note needs a unique number; many businesses use a separate series such as CN-0001.
Yes. List only the items or amount being credited, such as one returned item or a price difference.
No. A credit note reduces what is owed; a refund is the money actually paid back. A refund usually follows a credit note when the invoice was already paid.
Use the same tax rate as the original invoice. The credit note then shows the net amount, rate and tax being credited.
