Remembers you

Your details, logo, tax and bank info carry over to the next invoice.

How to write a quote

  1. Add your business details and logo. They are saved and appear on every quote and invoice you make.
  2. Add the client under “Quote for”, and a reference such as the project name.
  3. Set the valid-until date. A quote that never expires can be held against you months later when your costs have gone up.
  4. Break down the price. One line per item, service or phase, with quantity and unit price, so the client sees what they are paying for.
  5. Add tax, discounts and delivery. Show tax separately so the quoted amount matches what the invoice will say.
  6. Write your terms. What is included and excluded, any deposit, and how long the work will take.
  7. Download the PDF. It ends with an “Accepted by” line for the client’s name, signature and date.

What to put in a quotation

  • Quote number and date: so you can match the client’s reply to the right version.
  • Valid until: how long the price stands, often 14–30 days.
  • Scope: what you will deliver, in plain words. Be specific about quantities, sizes and number of revisions.
  • Itemized prices: unit prices and totals, with tax shown on its own line.
  • Exclusions and assumptions: anything not included, and anything the price depends on.
  • Payment terms: deposit, when the balance is due and how to pay.
  • Acceptance: a line for the client to sign, or a note that a written reply is enough.

Quote vs estimate vs invoice

The words are often used loosely, but they set different expectations:

QuoteEstimateInvoice
PurposeA fixed price offerAn informed guess at the costA request for payment
Can the price change? Not without agreementYes, within reasonNo, it is the final amount
WhenBefore work startsBefore work startsAfter delivery
Signed by clientOftenSometimesNo

If you cannot fix the price yet, send an estimate instead. If a buyer needs a priced document to arrange payment or import paperwork, they may be asking for a proforma invoice.

Turn an accepted quote into an invoice

When the client says yes, there is no need to type everything again. Open My documents, find the quote and choose Turn into an invoice. The client and line items come across into a new invoice with its own number, ready for you to adjust and send.

Quotes are saved in your browser as you type, just like invoices, and nothing is uploaded. Export a backup from My documents if you want a copy on another device.

Questions people ask

Is the quote generator free?

Yes. No sign-up, no watermark, and no limit on quotes.

Is a quote the same as a quotation?

Yes. “Quotation” is the more formal word and is common in British English; “quote” and “price quote” mean the same thing.

How long should a quote be valid?

It is up to you; 14 or 30 days is common. Use a shorter period when your material costs change often.

Is a quote legally binding?

It can be. Once a client accepts a quote, it is often treated as agreement on that price, which is why it should state its scope and how long it is valid. Rules vary, so check locally if a lot is at stake.

Can my client sign the quote?

Yes. The PDF ends with an “Accepted by” line for a name, signature and date, so it can be printed and signed or signed digitally in a PDF app.

Can I convert a quote into an invoice?

Yes. In My documents, choose Turn into an invoice on the quote and a new invoice is created from it.

Should I ask for a deposit on a quote?

For larger jobs, many businesses do. State the amount or percentage and when it is due in your terms, then bill it with an invoice once the quote is accepted.
